School Admin Triage in 20 Minutes

One folder, three buckets, one calendar. Once a week.

Schools generate paperwork at a rate that would embarrass a mid-sized insurance company. You cannot read it all. You can, however, process it in twenty minutes a week if you stop trying to be thorough.

The setup (one time, fifteen minutes)

One document. A single note, page, or doc called The Week. Not seven. Not a whiteboard, not an app, not a colour-coded system. One.

One calendar. The one you actually look at. Everything goes there or it does not exist.

One bin. A physical tray by the door for paper. Every slip goes in it. Nothing lives in the bottom of a school bag.

The ritual (Sunday, 20 minutes)

Minutes 0–5 — Empty. All apps, all emails, all paper from the bin, all screenshots from the class group. Dump them into The Week. Do not act on anything yet. Dumping is not doing.

Minutes 5–10 — Sort. Three columns only:

  • Do — has a deadline this week.
  • Decide — needs another adult or a conversation.
  • Dump — no deadline, no consequence, nobody will remember.

Be ruthless about Dump. Most of it is Dump. The mufti day does not need a strategy.

Minutes 10–18 — Do. Sign, pay, reply, book. Two lines maximum per reply.

Minutes 18–20 — Calendar. Every remaining deadline into the calendar, with a reminder 48 hours before. Then close the document.

The rules that make it hold

  • Never process admin twice. If you open the email, deal with it or put it in The Week. Do not “come back to it”.
  • Never reply from the notification. Open the app, reply, close it. Notifications are how a two-minute task becomes a twenty-minute one.
  • Unsubscribe from everything that is not a deadline. The newsletter about the summer fair can be missed.
  • One shared list with the other adult. Not a mental list. A real one, visible to both. The invisible list is how resentment is manufactured.

What this is not

This is not a productivity system. There is no app, no colour, no review. It is a small closed box that you open once a week so that the rest of the week does not hum.

Twenty minutes buys you six days of not thinking about a gold coin.
